Plugin Description
FynStudio CRM provides a private WordPress administration workspace for photographers and creative studios. It brings client, project, task, location, product, form, calendar and communication workflows together without exposing CRM records on the public WordPress REST API.

All CRM custom post types are intended for authenticated administration use. FynStudio does not add analytics, advertising or tracking cookies.
External services
FynStudio does not send CRM information to the plugin author. Depending on site configuration, it can communicate with services selected by the site owner:
- Email or SMTP provider: recipient details and message content are sent when an administrator sends email or a configured form notification is triggered.
- iCal provider: the WordPress server requests configured external calendar feed URLs to synchronize events. Feed URLs may contain private access tokens.
- Configured email recipients: form submissions can be forwarded to recipients selected by the site administrator.
The site owner is responsible for the terms and privacy notices of configured external providers.

Privacy
FynStudio CRM can store names, email addresses, telephone numbers, addresses, dates, messages, notes, form submissions, questionnaire responses, project timelines, project information and communication history. The WordPress personal-data tools under Tools can export matching clients, projects, form submissions, questionnaires and communication records.
When an erasure request is confirmed, FynStudio deletes linked CRM document files and anonymizes personal content instead of deleting complete business records. Internal record identifiers, dates, statuses and financial or operational details can remain where they are needed for contractual, tax or other legal obligations. If a legacy attachment is shared or cannot be removed, the erasure remains incomplete and reports that it must be retried after review. The site operator is responsible for defining and applying an appropriate retention period. Other WordPress media must be reviewed separately.
New CRM document uploads are stored in a protected FynStudio subdirectory of the WordPress uploads directory. Server deny files block direct web access, and downloads are delivered only through an authenticated FynStudio route with a capability and nonce check. Documents uploaded by an older FynStudio version remain Media Library attachments until an administrator uses the “Secure file” action in the relevant client or project Documents tab.
The default directory is wp-content/uploads/fynstudio-private-site-N, where N is the WordPress site ID. Backup and migration tools must include the uploads directory as well as the database. Technically managed installations can define the absolute KYST_FYNSTUDIO_PRIVATE_DOCUMENT_DIR constant in wp-config.php; for portability and safety, the configured path must remain inside the WordPress uploads directory.
Optional SMTP settings entered in the FynStudio administration, including the server name, user name and password, are stored in the WordPress database. When messages are sent, recipient details and message content are transferred to the configured mail provider and may be retained in the local communication history. Use a dedicated SMTP app password where possible.
For deployments that should keep SMTP credentials out of the WordPress database, the following constants can be defined in wp-config.php. Constants take precedence over database settings and are not copied into the database: KYST_FYNSTUDIO_SMTP_ENABLED, KYST_FYNSTUDIO_SMTP_HOST, KYST_FYNSTUDIO_SMTP_PORT, KYST_FYNSTUDIO_SMTP_ENCRYPTION, KYST_FYNSTUDIO_SMTP_AUTH, KYST_FYNSTUDIO_SMTP_USERNAME, KYST_FYNSTUDIO_SMTP_PASSWORD, KYST_FYNSTUDIO_SMTP_FROM_EMAIL and KYST_FYNSTUDIO_SMTP_FROM_NAME.
When an iCal feed is configured, the WordPress server contacts the external feed URL. The calendar provider may receive technical connection data such as the server IP address. Feed URLs can contain secret access tokens and should be protected. Imported event information is stored locally for synchronization until the feed is removed or its local data is cleared.
Supported form integrations copy configured submission fields into FynStudio client, project and communication records. FynStudio itself does not add tracking cookies or transmit CRM records to the plugin author.

Uninstalling
Deactivating FynStudio never deletes CRM data. By default, deleting the plugin also retains clients, projects, tasks, products, locations, forms, questionnaires, communication records, templates, private document files and settings so they can be reused after reinstalling the plugin. The calendar synchronization task, plugin version marker and FynStudio capability are removed.
To remove all FynStudio data, first enable “Permanently delete FynStudio data on uninstall” under FynStudio > Settings > General, save the settings, and then delete the plugin from the WordPress Plugins screen. This permanently deletes all FynStudio custom post type records and plugin options, including studio and SMTP settings, calendar data, project and task settings, external form mappings, dashboard widgets and dashboard templates. It also deletes FynStudio private document storage and legacy Media Library attachments linked to FynStudio document records. Other WordPress media is retained.
