Plugin Description

Guru Project Manager provides a complete project management workflow for WordPress, including projects, Kanban boards, tasks, milestones, files, discussions, payments, activity history, team roles, and email notifications.

Use the frontend shortcodes for a permission-aware project workspace without sending users into the WordPress admin area.

Core Workflow

  • Guru Project Manager opens directly to Projects.
  • The [guru_project_manager] frontend workflow uses popup/modal-safe AJAX and JavaScript navigation with no page refreshes.
  • Project status views: Active, On Hold, Completed.
  • Add and edit projects in a modal.
  • Project workspace navigation: Overview, Board, Tasks, Milestones, Files, Discussion, Payments, Activity.
  • Kanban starts with Backlog, To Do, In Progress, Review, Completed, and each project can rename, add, remove, reorder, and choose its completed stage.
  • Tasks support AJAX project-member assignee lookup, multiple assignees, optional milestones, priorities, due dates, Complete/Reopen/Delete actions, and Super Admin-only sensitive tasks.
  • Task names open a view screen on both the admin and frontend project manager. Managers, Admins, and Super Admins can edit tasks.
  • Add Task uses the native WordPress TinyMCE editor. Existing descriptions stay in view mode until Edit Description is selected while editing.
  • Project participants can add task notes from the Task view. Notes show the author’s WordPress profile image, display name, timestamp, and content.
  • Milestones support View/Edit, task assignment, AJAX add/remove task relationships, Complete/Reopen/Delete actions, and automatic completion when linked tasks are complete.
  • Project files use the WordPress Media Library.
  • Discussion topics and replies are included.
  • Activity history records important project actions with visible dates, server-side search, date filtering, and AJAX pagination at 100 activities per page.

Guru Roles

Guru roles are separate from WordPress roles and persist across assigned projects:

  • Super Admin
  • Admin
  • Manager
  • Team Member
  • Viewer / Client

WordPress Administrators automatically qualify as Guru Super Admins. Additional Guru Super Admins can be assigned from the Team screen.

A project member can receive a Manager override for an individual project without changing their global Guru role.

Payments

Project payments support:

  • Multiple payment entries per user and project.
  • Optional milestone relationship.
  • Paid: Yes or No.
  • Automatic paid date/time when changed to Yes.
  • Paid date cleared when changed back to No.
  • Payment activity is sensitive and visible only to Guru Super Admins.
  • Super Admin payment views group records by project user in expandable accordions.
  • Normal users can only see their own payment records.

Shortcodes

[guru_project_manager]

Displays the full permission-aware frontend project workflow for the logged-in user. Frontend project navigation and actions are AJAX-driven and popup/modal-safe.

[guru_project_payments]

Displays project payments for the logged-in user. Guru Super Admins see all users and all payments in expandable user accordions.

Notifications

Built-in WordPress email notifications can be enabled or disabled for:

  • Project created
  • Project member added
  • Project completed
  • Task assigned
  • Task completed
  • Milestone completed
  • Discussion added
  • Payment added
  • Payment marked paid
  • Task due soon
  • Task overdue
  • Task status changed
  • Task note added
  • Task reassigned
  • Milestone due soon
  • Milestone overdue
  • Project member removed
  • Project status changed
  • Task due date changed
  • Milestone date changed
  • New file uploaded
  • Project due date changed

New notification types are enabled by default. The Due Soon Window applies to both task and milestone due soon emails. Notification settings are available under Guru Project Manager > Settings.

Data Safety

Deactivation does not remove Guru Project Manager data. Uninstall also preserves data by default. Guru Super Admins can explicitly enable “Delete all Guru Project Manager data on uninstall” under Settings. When enabled, uninstall removes the plugin’s custom tables, options, role metadata, and scheduled notification hook without deleting WordPress users or Media Library attachments.

Getting Started

  1. Activate Guru Project Manager.
  2. Create a project and add WordPress users to the project team.
  3. Assign tasks, milestones, and project roles as needed.
  4. Add [guru_project_manager] to any page, post, or compatible shortcode-enabled modal/popup.
  5. Optionally add [guru_project_payments] where users should view project payment records.

The Settings screen includes copy buttons for both frontend shortcodes and a link to the bundled documentation PDF.
